ClickFunnels + ConvertKit + Calendly + Zapier: what that stack actually costs

· 8 min read · Prices checked October 9, 2026
Dollar bills, a notepad, and a hand totaling numbers on a phone calculator

If you sell something online as a one-person business, there is a good chance your setup looks like this: a funnel in ClickFunnels, an email list in ConvertKit (now called Kit), a booking link in Calendly, and Zapier quietly passing leads between them.

Each tool is good at its job. That is not the problem. The problem is that nobody ever shows you the whole bill in one place, and the bill is more than the four plan prices added together.

This page does that math with each vendor’s own published prices as of October 2026. Then it covers the costs that never show up on an invoice, who should keep this stack (plenty of people should), and when it makes sense to run the business from one place instead.

The short answer

For one person on monthly billing with about 1,000 email subscribers, the four plan prices alone come to about $178 a month (about $144 a month if you prepay annually). As your list and lead flow grow, a realistic version of the same stack lands around $270 a month or more before card processing, add-ons, or your time.

That lines up with what solo sellers report. A Systeme.io switcher on r/YouTubeAffiliates described a ClickFunnels, Kajabi, SamCart, ConvertKit, Calendly, and webinar-tool stack that cost them $300 to $500 a month “just to run the basics” (r/YouTubeAffiliates).

Line by line: the sticker prices (checked Oct 9, 2026)

What the same stack costs once it is working

The entry bill is the cheapest this stack will ever be. Two of the four tools price on growth:

  • Kit prices by subscriber count. Creator is $39 a month at 1,000 subscribers, $59 at 3,000, $89 at 5,000, and $139 at 10,000, on monthly billing (EmailToolTester’s 2026 Kit pricing table; Kit’s own pricing page uses a slider).
  • Zapier prices by tasks. A task is one successful action step. Triggers do not count, but every “add to Kit,” “tag this person,” or “send me a notification” step does. The Professional plan is $29.99 a month for 750 tasks and $73.50 a month for 2,000 tasks on monthly billing (Zapier pricing).

Here is a worked example, so you can see how fast tasks add up. This is an illustration, not a quote from anyone’s account: a Zap that takes a new ClickFunnels opt-in, adds it to Kit with a tag, and pings you uses about 3 tasks per lead. At 750 tasks a month, that is roughly 250 leads before you hit the cap, and that is your only Zap.

Scenario (monthly billing)ClickFunnelsKitCalendlyZapierTotal
Just starting: 1,000 subscribers, 750 tasks$97$39$12$29.99about $178/mo
Working business: 5,000 subscribers, 2,000 tasks$97$89$12$73.50about $272/mo

And if you go over your Zapier tasks with pay-per-task turned on, extra tasks are billed at 2.5 times your base task rate on monthly plans (1.25 times on annual), and Zaps pause entirely once usage reaches 3 times your plan (Zapier pricing, “Exceeding your task limit”). Turn pay-per-task off and your Zaps simply stop until next cycle, which is how a lead quietly never gets the welcome email.

The overlap most people are paying for twice

Before you change anything, check what you already own. On its Launch plan, ClickFunnels lists email marketing for up to 10,000 contacts and 50,000 emails a month, plus a CRM pipeline. Calendars are listed starting on the Scale plan at $197 a month (ClickFunnels plan comparison).

So a lot of solo sellers are paying ClickFunnels for email they do not use, paying Kit for email they do use, and paying Zapier to keep the two in sync. That is not anyone being dishonest. It is what happens when tools get added one at a time, each for a good reason, and nobody steps back to look at the whole thing.

The costs that never show up on an invoice

The subscription total is the part you can see. The other part is what we call the glue tax:

  1. Setup and re-setup hours. Every tool has its own editor, its own tags, its own idea of what a “contact” is. A post on r/IMSuccessConnection described signing up for ClickFunnels, ConvertKit, Teachable, Zapier, Calendly, Stripe, and forms, then spending “$300/month on software I barely understood” and watching “1,000 YouTube videos” trying to connect it all. That post reads a bit promotional, so treat the specifics loosely. The pattern is the useful part.
  2. Zapier babysitting. A field gets renamed, a filter stops matching, a connection expires. You usually find out when a customer tells you they never heard back.
  3. Four places to look. Is this person a lead, a subscriber, or a booked call? The answer lives in three tools, and none of them knows what the others know.
  4. Leaving is hard. Once your sequences, tags, and Zaps depend on each other, changing one tool means rebuilding the others. Creators moving off Kit have written about rebuilding automations and warming up deliverability again (r/beehiiv thread on moving from Kit).

“As a solo founder, ditching the pricey Frankenstack of cf + mailchimp and my old CRM and of course, Zapier, was honestly one of the best decisions I made. Too much money, too many moving parts”

We wrote the longer version of that story in The Frankenstack.

Who should keep this stack

Honestly, a lot of people. Keep it if:

  • Funnels are the business. You run several high-volume funnels, A/B test checkout pages, or run an affiliate program. ClickFunnels is built for exactly that.
  • Courses or a paid community are your main product. ClickFunnels includes courses and community, and dedicated course platforms go deeper. Use a tool built for that job.
  • Your newsletter is the product. Kit is one of the best tools for newsletter-first creators, and its free Newsletter plan covers up to 10,000 subscribers (with limits on automations and a required recommendations feature) (EmailToolTester).
  • Your Zaps are stable and you like tinkering. If the glue rarely breaks and you enjoy building it, that is a real skill, not a problem.

And if cost is the only issue, you can go lean. Indie Hackers writer Alex Renn laid out a year-one stack of free Notion, free Cal.com, Stripe, and Carrd for under $50 a month (Indie Hackers). Runza Starter is $14 a month for a site on your own domain, contacts, invoices, and one-time email, so it fits that budget too; email sequences are on Pro.

When one place makes more sense

The stack makes sense when each tool is a job you want to manage. It stops making sense when you are a coach, consultant, freelancer, or local service pro and what you actually need is simpler:

  • a site with a landing page and a way to buy or book
  • a list you can email, with a welcome sequence that actually sends
  • a record of every lead and customer so follow-ups do not slip
  • invoices and payment links that land in the same place

That is the job Runza is built for. Runza gives you Ace, an AI co-founder who does the work with you: building and updating your website, keeping customers and leads in one record, sending quotes, invoices, and payment links, and drafting and scheduling email, social posts, and bookings on a built-in booking calendar. You tell Ace what you are trying to do in plain English, and you approve before anything goes out.

The difference is not “four tools in one dashboard.” It is that there is no glue to maintain, because the booking, the lead, the email, and the invoice are already the same customer record.

Price is not the main point, and we would rather you decide on time and headaches than on a number. But it is fair to see both side by side.

A 15-minute audit before you change anything

Pull up your last three months of statements and run through this:

  • List every tool you pay for and what job it does (funnel, email, booking, glue, CRM, invoicing).
  • Mark any job you are paying for twice (for example, email inside ClickFunnels and in Kit).
  • Check your Zapier task usage. Are you near the cap, or paying overages?
  • Count how many Zaps broke or needed fixing in the last 90 days.
  • Write down where a lead “lives.” If the answer is “it depends,” that is the glue tax.
  • Estimate the hours per month you spend in settings instead of with customers.
  • Decide which tools are the business (keep those) and which are just plumbing (candidates to cut).

FAQ

How much does ClickFunnels, ConvertKit, Calendly, and Zapier cost together?

On monthly billing for one person with about 1,000 email subscribers, the entry plans add up to about $178 a month ($97 ClickFunnels Launch, $39 Kit Creator, $12 Calendly Standard, $29.99 Zapier Professional at 750 tasks). Billed annually it is about $144 a month. With 5,000 subscribers and 2,000 Zapier tasks, it is about $272 a month on monthly billing. Prices checked October 9, 2026 on each vendor's pricing page.

Is ConvertKit the same as Kit?

Yes. ConvertKit rebranded to Kit. The Creator plan starts at $39 a month for up to 1,000 subscribers on monthly billing, and there is a free Newsletter plan for up to 10,000 subscribers with limited automation.

Do I need Calendly if I have ClickFunnels?

It depends on your plan. ClickFunnels lists calendars starting on its Scale plan ($197 a month), so many Launch customers add Calendly. Calendly's Free plan covers one event type, and Standard is $12 a month (or $10 billed annually).

Why does my Zapier bill keep going up?

Zapier counts every successful action step as a task. A single lead can use several tasks if your Zap adds, tags, and notifies. Over your limit, extra tasks cost 2.5 times your base rate on monthly plans, and Zaps pause at 3 times your plan.

Is Runza cheaper than this stack?

Runza Starter is $14 a month and Pro is $69 a month, so on paper yes. But that is not why we would suggest it, and a lean DIY stack can also cost under $50 a month. Runza makes sense when you want the site, list, bookings, customers, and invoices in one place, with Ace, Runza's AI co-founder, doing the setup work instead of you wiring tools together.

Can Runza replace ClickFunnels for courses?

If courses or a paid membership are the core of your business, keep a platform built for that. Runza is built for one-person service and product businesses that need a site, customers, money, and marketing working together.

Try it on your real business

If you read this and recognized your own Zapier dashboard, try one small test. Tell Ace what your funnel is supposed to do (for example, “people book a free call, then get a welcome email and a follow-up two days later”) and see what it builds.
